Creating the Mobile Organizer App

The Mobile Organizer App demonstrates our commitment to event organizers. This powerful app puts EventsAir onto any mobile device, so you can manage the event onsite wherever you go. It streamlines EventsAir down to the features you need most during the event, right at your fingertips. You can get access to the agenda, perform session and function check-ins, monitor your Twitter feed, view live streaming sessions, search for attendees, send out alerts, communicate with your staff, access Run Sheets, run reports, and more.

Setting up and publishing your Mobile Organizer App is very similar to the Attendee App - you use the EventsAir Builder in exactly the same fashion. Then, you set your details for how the app is published, and it is done!

Designing the Look and Feel of Your Mobile Organizer App

Just like the Attendee App, you have a powerful and comprehensive set of style and design settings. Built around Themes, you can create different navigation layouts and have a great deal of control over colors, fonts and other desig elements.

Building the App

Here are the sections that you can add to your Mobile Organizer App:

  • Quick Reports - if you create Quick Reports in your Reporting Panel, they are available to be viewed in the Mobile Organizer App as well
  • Attendees - quickly search for and locate a specific attendee; you can view all of their registrations and bookings, and even connect to an Interactive Site to pay any outstanding balances, or book additional module items. You are also able to capture or import a photo and crop the image during the import process. See Attendee Photo Management for more details.
  • Agenda - the Agenda option lets you view a full agenda for the event
  • Event Check In - view conference or event attendees and mark them as present for your event
  • Session Scan In - view attendees for a specific session and mark them as checked-in for the session
  • Session Scan Out - view attendees for a specific session and mark them as checked-out for the session
  • Function Check In - view attendees for a specific function and mark them as checked-in for the function
  • Messages - you and your management can receive messages from attendees through the Mobile Organizer App
  • Team News - this option is useful for sending out news updates on a scheduled basis to all the members of your management team
  • Twitter Feed - this option will collect Twitter feeds from all attendees and display them in real time in the Mobile Organizer App
  • Run Sheet - view all Run Sheet tasks in chronological order, and check them off as complete when done
  • My Run Sheet - lets a member of your team view just their specific run sheet tasks, and check them off as complete when done
  • Static Content - this allows you any form of content that you wish, such as contact pages, links to other URLs, Google Maps and more
  • Attendee Alerts - these are conference-wide messages and updates
  • Organizer Alerts - send alerts to the members of your management team here
  • Publish App Alerts and News - lets you send out alerts and news updates to both the Attendee App and the Organizer App. This has the same functionality as sending out News and Alerts from the Communications Panel
  • Event Alerts - if an alert is triggered in EventsAir, it will appear here in the Mobile Organizer App
  • EventStream - adds the scrolling EventStream Social Network to the Organizer App. Organizers can post photos, videos (up to 10 seconds), comments, tags and likes for other entries (just like attendees). Additionally, organizers can review, edit and delete posts from attendee submissions
  • EventStream Reporter - EventStream Reporter is a tool for an assigned party to contribute to EventStream, assign hashtags and a default message (chosen from a list of default messages)
  • Local Storage - this option lets you choose what Organizer App data is stored on your local device so you can use the Organizer App without an Internet Connection
Tip: Pressing Save will save your changes and close the Builder. Pressing Save & Preview will leave the Builder open, and open the App in your Web Browser to see how your changes look.

Capturing or Editing Attendee Photos

Within the Attendees element is an option to Capture Photo. This option lets you or your team use their phone or tablet's camera to add or replace a headshot for inclusion in the Attendee function.

If you need to replace or upload an image, it is a simple matter to select Add/Replace Photo. Then, you are able to import a new photo, even one you have just taken with your smart phone or tablet.

When selected, you are able to crop the image appropriately.
