Attendee Panel - Functions Module


Functions are where you organize and manage all activities, workshops, breakout sessions, tour meals and any other activities within your meeting. Functions allow you to organize your functions by category (breakout sessions, optional tours, etc.) and manage all important tasks, such as:

  • Tracking attendance
  • Managing inventory
  • Collecting fees
  • Scheduling time and location

Function setup is organized by setting up function groups (which are logical groupings for related functions), and the actual function specifics. You are also able to define function details, such as location, dates, times, audio-visual requirements, and more.

About Function Groups

Function Groups are used in EventsAir to organize your functions into logical groups or categories. Some examples include: 

  • Workshops
  • Social activities
  • Inclusive activities or meals
  • Optional activities or meals
  • Golf outings
  • Anything else you can imagine!

The system has no limits on what it can manage, and can handle waiting lists, table allocation, seating plans, dietary requirements, invitations and more.

Viewing and Editing Details in the Functions Module

Details Tab

Like the Registration Module, you will see a list of all registered functions on the module item. Clicking on any specific Function will open the module and let you edit or view the details.

Details in the Function Module include:

  • Function selected
  • Fee type
  • Number of tickets
  • Payment status
  • Adjustment, tax and total charge Invoice Note - if you enabled this in Financial Setup/Preferences, you will be able to add a attendee-specific note relating to the charge in this field. This note is displayed on the actual generated invoice next to the total amount due.
  • Comment
  • Guest Names

Itinerary Tab

This is where you can view the specific itinerary details for the function. You can also edit these details if needed.

Tip: The itinerary details can be merged into Merge Docs for additional information that you can communicate to the attendee.
  • Replace Standard Itinerary Information - if you check this box then this itinerary will overwrite the standard function itinerary text for this specific attendee. Otherwise, your additional itinerary information will be added to the standard function itinerary information (configured in Function Setup).

Tax Tab

The Tax Tab shows taxes that have been applied, or you can add a tax to the currently selected function.
